AI, automation and systems · Service businesses

AI is moving fast.
Is your business?

We help businesses work out where AI and automation will make a real difference, build the systems that deliver it, and teach the people who'll use them.

Analyse.Automate.Enable.

30 minutes. You'll leave with one thing about your business you didn't know before.

The frame

Starting with AI is the easy bit. Using it well, and keeping up, is not.

Your competitors are experimenting. Your people are already using it, whether or not there's a policy. Something new turns up every week and most of it doesn't matter.

There's a quieter problem too. When AI gets used without a policy, client information and your own IP can end up outside the business without anyone meaning to put it there. The first move is often just keeping AI use contained within your own company infrastructure, the Copilot inside your Microsoft 365, the Gemini inside your Workspace, with the settings set properly.

The businesses pulling ahead aren't the biggest ones. They're the ones who spotted the useful bit early, tidied up how they operate, and got more out of the people they already have.

What's hard is telling the useful bit from the noise, in your business specifically, and knowing where to start. That's the part we do.

What we do first

Are you using what you already pay for?

Usually not, and it's the first thing we check. AI isn't the only automation and it's rarely the first one. Xero, Hubdoc, Microsoft 365, Google Workspace, your calendar, the phone in your pocket. Most of it has capability nobody switched on.

We hand those over first, and we don't charge for them. If a setting fixes your problem you didn't need us, and we'd rather say so than sell you a system.

  • Xero bank rules that code the lines for you
  • Bills emailed straight into Hubdoc
  • Email filed by client automatically
  • A booking link instead of the back and forth
  • Approvals that already exist in Microsoft 365
  • Your phone transcribing notes on the drive back

How we work

Analyse.Automate.Enable.

1. Analyse.

Know where you stand. Where the time goes, what only one person knows, how leads turn into work, what your competitors are doing, and what has become possible in the last twelve months that you have not heard about yet.

2. Automate.

Turn the opportunity into something that runs. Sometimes it's a setting you already own, and we'll tell you for free. Sometimes it's two systems finally talking to each other, or an AI agent built around how you actually work.

3. Enable.

Bring your people with you. Practical training for one person, a team or a whole company, plus the policy and guardrails that let them use AI without anyone lying awake about it.

How it works

A conversation, the Analysis, and only then a build.

Nobody should buy a system on a first conversation. The first two steps exist to find out whether the rest is worth doing, and the whole thing goes around again as your business and the technology change.

Discovery call starts it.
Then it goes around.

Discovery call

Bring the thing that's actually annoying you. We'll ask what it costs, how long it's been that way, and what happens if nothing changes.

01

Analyse

First question: are you getting everything out of the software you already pay for? Then where the time goes, what only one person knows, how leads become work, and what has become possible that you have not heard about yet.

02

Automate

Only if the Analysis says it is worth it, and only in the shape that fits: a staged project, a small one to test the water, or none at all if training is the better move.

03

Enable

Your team trained on your system, and the training written down. An AI usage policy your people will actually follow. Leadership briefed on what is changing and what to ignore.

Support

One project is not the hard part. What happens next is. We sit alongside your leadership team or AI committee to keep track of what has changed, what matters, what to invest in and what risks are turning up.

Where we draw the line

We won't build anything that lies, pressures, or sells someone something they can't afford.

And you stay in every decision that matters. If it's about a person, a contract, a regulator or money, the software does the legwork and a human makes the call. That's how we keep AI useful and keep you out of a conversation with a regulator you didn't want to have.

Questions people ask before they call.

What does Lynchpin actually do?

We work out where AI and automation would make a real difference in your business, starting with the software you already pay for. We build the systems that deliver it. And we teach your people to use it, whether that is an hour with one person or a company-wide policy.

I know nothing about AI. Is that a problem?

No. Most of the people we talk to are in the same spot. The discovery call is a conversation, not a test, and you will leave with a clearer picture than you came in with.

We've started, but we want to keep it inside the tools we already have. Copilot, that sort of thing.

Good. That is often the right call and it is where we would start anyway. We will help you get the most out of what you've got and set it up so it stays contained within your own systems. Nothing new unless it earns its place.

We want to build something. Is that you?

Yes. If the Analysis says a build is worth it, we scope it, stage it and build it around how you work. And if it turns out a small test project is the smarter first step, we will say that.

Do I need AI for this?

Often not, and rarely first. Most of the time you're paying for automation nobody switched on. We check that before we suggest anything new.

Is this about cutting jobs?

No. AI is a tool. It costs something to use and it should earn that back, but not by taking work off the people who are already here. We measure success by where the recovered capacity goes: onto clients, into the team, into the quality of the work.

Do you touch our finances?

No. We'll happily look at the data your systems already produce, because that is where the time and the risk usually show up. But we don't change how your accounts are done or give financial advice. That is your accountant's and your adviser's job, and we work alongside them.

How is the work priced?

The discovery call is free, and so are the free wins. We'll point you to the ones that fit on the call. Everything after that is scoped to your business once we understand it, and you'll have the number in writing before anything starts.

Who is Lynchpin for?

Professional service businesses where the knowledge that makes the work good lives in a few people's heads. Consultancies, firms, agencies, practices, associations, and the professional side of construction. Anywhere, any size. We work with teams and whole companies. If it's just you, we run one-to-one AI sessions too.

What won't you build?

Anything that manipulates or pressures people, or makes a final call about a person without a human who can explain it and override it. The full list is on The line.

AI is going to change your industry. How it changes your business and your future is up to you.

Be ahead of it, or be reacting to it. 30 minutes, free, and worth your time.
